Sharing Problems

Sharing is one of Quixli's core features, so when it doesn't work as expected, it can be particularly disruptive. Most sharing issues fall into three categories: problems generating share links, recipients unable to access shared content, and permission-related errors. This guide provides targeted solutions for each.

Can't Generate a Share Link

If the "Share" button isn't working or you can't create a share link:

  • Check your permissions: Only the page owner and users with Admin permission can create share links. If you have Edit or lower permission, you'll see share options but won't be able to modify them

  • Verify the page is saved: Newly created pages must be saved at least once before they can be shared. Look for the "Saved" indicator in the editor header

  • Check workspace settings: Some workspaces have sharing restrictions set by the admin. If you see a "Sharing disabled by admin" message, contact your workspace administrator

  • Try refreshing the page: Occasionally, the share dialog fails to load due to a temporary network issue. Refresh and try again

  • Check your plan: Email sharing and some advanced sharing features require a Pro plan or higher. If you're on the Free plan, only public link sharing is available

Recipients Can't Access Shared Content

This is the most common sharing problem. When someone clicks a share link and can't access the content, check these potential causes:

Link Issues

  • Verify the link is correct: Copy the share link again from the share dialog and send it to the recipient. Links sometimes get truncated in emails or chat applications

  • Check if the link has expired: If you set an expiration date on the share, it may have passed. Go to the share settings to check and extend the expiration if needed

  • Check if the link was regenerated: If someone regenerated the share link (creating a new URL), old links stop working immediately. Copy the new link from the share dialog

Access Issues

  • Password requirement: If you enabled password protection, the recipient needs the password to access the content. Resend the password through a separate communication channel

  • Domain restrictions: If you restricted access to specific email domains, the recipient must verify their email. They'll see a prompt to enter their email address — make sure their domain is in your allowlist

  • Email share PIN: For email shares with PIN protection, the recipient needs both the link (from the invitation email) and the PIN (from a separate email). If they deleted either email, resend the invitation from the share settings

Recipient's Browser Issues

  • Incognito mode: Some share features use cookies to maintain access. If the recipient is using incognito/private browsing, they may need to re-authenticate each time

  • JavaScript disabled: Quixli requires JavaScript. Recipients with JavaScript disabled in their browser won't be able to view the content

  • Outdated browser: Very old browsers (IE11, pre-Chromium Edge) are not supported. Ask the recipient to use a modern browser

Permission-Related Errors

"Permission Denied" When Editing

If a recipient can view the page but gets an error when trying to edit:

  • Check their permission level: They may have View or Comment permission instead of Edit. Go to the share settings to verify and upgrade their permission if needed

  • Check for conflicting permissions: If the user has access through multiple paths (direct share + collection share), the highest permission applies. However, if one path explicitly sets View permission, it might confuse the UI. Remove the conflicting share and re-add with the correct permission

"Can't Share" Error

If a collaborator with Edit permission tries to share the page:

  • Edit permission doesn't include sharing: Only Admin permission grants the ability to create share links and invite others. Upgrade the person's permission to Admin if they need sharing capabilities

  • Workspace sharing policies: Workspace admins can restrict sharing to prevent sensitive content from being shared externally. Check with your admin if external sharing is blocked

Troubleshooting Checklist

When debugging a sharing issue, work through this checklist:

  • Is the page saved and not in draft state?

  • Does the sharer have Owner or Admin permission?

  • Is the share link correct and not expired?

  • Is password/PIN protection enabled, and does the recipient have the credentials?

  • Are there domain restrictions that block the recipient?

  • Is the recipient using a modern, supported browser with JavaScript enabled?

  • Has the workspace admin enabled sharing for external users?

If you've checked all items and the issue persists, contact [email protected] with the share link, the recipient's email, and a description of the error they're seeing.

Frequently Asked Questions

Can I see if my share link has been compromised?

Check the share analytics for unexpected views from unfamiliar locations or a sudden spike in traffic. If you suspect unauthorized access, regenerate the share link immediately (the old link stops working) and enable password protection.

How do I share with someone who doesn't have email?

Use a public link. Public links work for anyone with the URL, no email required. Add password protection if you need to restrict access.

Why does the shared page look different from the original?

Shared pages use a read-only renderer that closely mirrors the editor, but some interactive elements (like editable tables, live embeds, or form inputs) may appear slightly different in read-only mode. Custom fonts and some advanced formatting are preserved. If specific styling is missing, try exporting as PDF for pixel-perfect sharing.

Can I troubleshoot sharing issues for a specific recipient?

Yes. Open the share dialog, find the recipient in the access list, and click "View Details." This shows their last access time, browser, and any error codes from failed access attempts. The most common issue is expired or PIN-protected links — check the access log to confirm whether the link was used successfully.

Does revoking a share link break embedded previews?

Yes. If you've embedded a Quixli page preview on another website using the embed code, revoking the share link disables the embed as well. Visitors to the embedding site will see a "Content unavailable" placeholder. To restore it, create a new share link and update the embed code.
