Sharing Pages via Email

Email sharing lets you send a page or collection directly to specific people using their email address. Recipients receive a secure invitation link and can view your content without needing a Quixli account. This is the ideal sharing method when you need controlled, targeted access — such as sending a client proposal, sharing a report with stakeholders, or requesting feedback from an external reviewer.

This guide covers everything from sending your first email share to advanced features like PIN protection and view notifications.

How to Share via Email

Sending a page to someone's email takes just a few clicks:

  1. Open the page or collection you want to share

  1. Click the "Share" button in the top-right corner

  1. Select the "Email" tab in the share dialog

  1. Enter email addresses: Type one or more email addresses, separated by commas. You can add up to 20 recipients at once

  1. Choose the access level: Select View, Comment, or Edit from the dropdown. View is selected by default

  1. Add a personal message (optional): Write a note that appears in the invitation email. This helps recipients understand why they're receiving the document

  1. Click "Send Invitation": Recipients receive an email with a secure link to access your content

What Recipients See

When someone receives your email invitation, they get a branded email from Quixli containing:

  • Your name and a personal message (if you added one)

  • The page or collection title

  • A secure "View Document" button that opens the content in their browser

  • The access level you granted (View, Comment, or Edit)

Recipients don't need to create an account or download anything. The link opens directly in their web browser with the full reading experience, including navigation for collections.

Security Features

PIN Protection

For sensitive documents, you can require recipients to enter a PIN code before viewing the content. When PIN protection is enabled, Quixli generates a unique 6-digit PIN for each recipient. You can share the PIN via a separate communication channel (like a phone call or text message) for added security.

To enable PIN protection, toggle "Require PIN" in the email share dialog before sending. The PIN is included in a separate email — it's never sent in the same email as the access link.

View Notifications

Enable "Notify me when viewed" to receive an email notification each time a recipient opens your shared content. The notification includes the recipient's email address and the time they accessed the document. This is particularly useful for tracking whether clients have reviewed proposals or whether team members have read important updates.

Expiration

Set an expiration date to automatically revoke access after a specified time. Once expired, the link stops working and recipients see an "Access expired" message. You can extend the expiration date at any time from the share settings panel.

Managing Email Shares

Keep track of all your email shares from the share settings panel:

  • View all recipients: See everyone you've shared the document with, along with their access level and last viewed timestamp

  • Change permissions: Upgrade or downgrade any recipient's access level at any time

  • Revoke access: Remove a specific person's access instantly. They'll see a "You no longer have access" message if they try to open the link

  • Resend invitation: If a recipient lost the email, click "Resend" to send a fresh invitation

Best Practices

  • Always add a personal message: A brief context note ("Here's the Q3 report for your review") dramatically increases the chance that recipients will actually open and read the document

  • Use PIN protection for confidential content: Financial reports, legal documents, and personnel information should always have PIN protection enabled

  • Set expiration dates for review documents: When sharing drafts for feedback, set a 7-day or 14-day expiration to create urgency and prevent stale versions from circulating

  • Check view status before follow-ups: Before sending a "Did you see my document?" email, check the share analytics to see if the recipient has already viewed it

Frequently Asked Questions

Can recipients forward the access link to others?

Technically, yes — the link itself can be forwarded. However, if you enable PIN protection, the forwarded link is useless without the PIN, which is tied to the original recipient's email. For maximum security, always enable PIN protection for sensitive documents.

What happens if I share with an email that has a typo?

The invitation email will be sent to the typed address. If it doesn't exist, the email will bounce but no access is compromised. You can go to the share settings, remove the incorrect email, and add the correct one.

Is there a limit to how many people I can email share with?

Free plans allow up to 5 active email shares per page. Pro plans increase this to 50, and Team/Enterprise plans have no limit. You can see your current share count in the share dialog. To free up slots, revoke access for people who no longer need it.

Can I customize the invitation email message?

Yes. When adding an email recipient, you'll see an optional "Add a message" text area below the email field. Your custom message appears in the invitation email alongside the standard access link. This is useful for providing context about why you're sharing the page.

Do recipients need a Quixli account to view shared content?

No. Email share recipients can view the content using just the secure link sent to their email — no account creation required. However, if they want to leave comments or edit (depending on their permission level), they'll be prompted to create a free account.
